Why text-back alone is not enough, and what a missed-call workflow needs to turn an unanswered ring into a booked HVAC appointment.
Why missed calls cost more in HVAC than in most trades
A homeowner with a failed air conditioner in July is not shopping; they are dialing down a list. If the first company does not answer, the second one gets the job. Missed calls during peak season are lost revenue, not delayed revenue.
The typical office loses calls in three ways: simultaneous calls, lunch and end-of-day gaps, and callers who refuse to leave voicemail.
Text-back is a start, not a workflow
A generic 'sorry we missed you' text recovers some callers, but HVAC customers need a next step: a qualified conversation and an actual appointment. The recovery message should invite the customer to describe the problem, qualify service area and urgency, and offer real arrival windows.
Recovery must also respect consent: honor STOP requests, quiet hours and frequency limits.
What good looks like
Missed call → recovery text within a minute → customer replies → HVAC qualification → booking into your FSM → confirmation → attribution. Each missed call becomes an opportunity with a stage, so you can see how many were contacted, booked and completed.
